When renewing your business cyber insurance, insurer's asks about your processes to verify your payments? It's because payment fraud is where they're paying out claims. Checked before the first payment, not after. When Procurement or Accounts Payable adds a new supplier to the master list, VigilantPay checks the name against the account details their bank holds, before anyone approves the payment run, not weeks later when something's already gone wrong. You're still dealing with your supplier directly. We're not an intermediary sitting between you and them, just the check that happens before you pay.
And when your insurer asks again next renewal, you've got the answer. Every check is logged, who was verified, when, and the result, so you're not reconstructing evidence after the fact. Onboarding is Control 1. But suppliers' bank details change after they're approved, and fraud doesn't wait for your next renewal cycle to try its luck.

Verify when paying
The onboarding control managers your master supplier list often refered to as the "source of truth". However that is a point in time, knowing wheather a change has been introduced between the onbording control and making payment is where the risk now lies. This is where VigilantPay catched fraud and errors. Our research has found that 10% of payment files analised by VigilantPay for customers are found to have 1 or more erroniuos transction, this is equal to $1,400 for every $1M analised through VigilantPay. These can be expensive errors such as duplicate payments which are not helped by control 1 or fraud.

It's not humanly posible to check every transaction when performing high volumes of payments during the critcal final pre-flight, this is where VigilantPay shines, automating checks early in the payment process giving your AP Team a consistand process and Approvers and Authorior confidence they are signing off on a consistant and audited process.

First control - Verifys your supplier (payee)
Simply use the VigilantPay platform's verification service to verify the supplier's/payee's details you've been given. VigilantPay connects to that supplier's bank to verify the details, returning a "Match", "Partial Match", or "No Match" depending on the information used. You can also choose to send a secure onboarding form to the supplier — their details are checked for a match, and they're prompted to correct anything that doesn't match.
Second control - Verifys your payments
Straight out of the box, AP staff can drop a bank payment file (ABA or similar) into your VigilantPay platform to run pre-flight checks before it reaches the bank. The file is analysed within seconds against your historic payment data (which you can build up by importing historical files) and the VigilantPay community's knowledge to detect any anomalies or erroneous payments. This control catches supplier detail changes made after onboarding, as well as other issues such as duplicate payments, conflicts of interest, and more. The files is Read-only so can't be tapmered with and activity logs are recorded ensuring seperation of duty and processes are followed.
Cross check Creditors and Payroll
A unique benefit of VigilantPay is the ability to cross-check Creditor and Payroll runs, surfacing conflicts of interest and other anomalies that might otherwise slip through. The same verification process applies to both, with visibility of Payroll data restricted to users who hold the right privileges.
Flagged payments can be quarantined for further review without holding up the full payment run, avoiding a common bottleneck where a single queried item can otherwise delay an entire batch.
Simplfy the complexity
Many organisations are complex with lots of moving parts, multi locations and entities. Shared Services AP Teams are further removed from the fron't line. VigilantPay's flexability can simplify and streamline processes managing both master suppliers and payment runs.
Insights from your community
When you adopt VigilantPay you also benefit from becoming part of the VigilantPay community. You get unique insigns not posible in isolation. VigilantPay can anomously share valuable information such if that payee has been seen before by others, the names used and a last paid date. This information is helpful in providng further confidence in who you are dealing with.
ERP and Banking platform integrations
Out of the box, VigilantPay can operate as an intermediary between your payment systems and your banking platform, with no integration required. Some customers, however, want VigilantPay automated into their existing workflows. This might mean sending payment files directly from their ERP into VigilantPay, or integrating directly with the banking platform to transfer cleared files onward. Others may want to call the VigilantPay verification service directly from their ERP, or have results populated back into the ERP in real time once supplier verification has taken place in VigilantPay. We have a suite of advanced tools and APIs to accommodate most of these integrations.
